University Faculty Refresh Program – (Does not include the School of Law as they manage their own refresh program)

  • Faculty computers are refreshed every 4 years (some may opt for an additional year)
  • This applies to full-time faculty serving in an instructional role (this doesn’t cover faculty serving in administrative roles and it doesn’t apply to part-time faculty)
  • Faculty receive one university-issued computing device and must turn in their old device within a few weeks of receiving the upgrade
  • New Faculty Lines – Computers for new faculty lines are initially funded by the department making the hire and they will be included in later refresh cycles
  • Faculty can choose from different options but the default must be a laptop device (Dell, Microsoft, or Apple) that can be used in the office, classroom, home, travel, etc.
  • If a faculty member wants a desktop device, then they must submit justification and have that approved by the Dean and Chair
  • Generally, Information Services will cover the cost of the device and a docking station but peripherals (monitors, keyboards, extra power cords, carrying cases, etc.) in excess of the allocated amount will be funded by the department
  • The program is intended to offset most of the costs to the academic departments but there are limits.  Each year we need to assess the number of units being refreshed and the amount funded for the refresh (the latter is pretty much fixed while the prior varies from year to year).  Anything over the allocated amount for that year will be the responsibility of the department or school/college. 

There are a few options if the department doesn’t have funding:

  • Select laptop options that come in below the allocated amount (this is the preferred and most expedient option but it may not address the needs of the faculty members)
  • Seek funding from the Dean to bridge the gap
  • Request IS (CIO) to cover the gap (note – it may be difficult to commit to this until we know the full cost of the program and that may take us well into the subsequent semester)
  • The Dean and IS (CIO) work together to bridge the gap
